PRIVACY NOTICE

Buick Mackane is the trading name of Get Insight Ltd. We provide coworking, private offices, meeting rooms, events and related services in Newbury. This notice explains how we use personal information when you visit our website, contact us, book or use our spaces, join our mailing list, or attend an event.

Who is responsible for your information?

What information do we collect?

Depending on how you deal with us, we may collect:

  • your name, business name, email address, telephone number and postal or billing address;

  • details of your enquiries, bookings, memberships, event registrations and communications with us;

  • information needed to provide access to our space and manage your account;

  • transaction and invoice records. Payments may be processed by a payment provider; we do not need to receive your full card details;

  • your newsletter preferences and a record of your consent or other applicable marketing preference;

  • technical information about use of our website, such as IP address, device, browser and cookie information; and

  • information you choose to provide in a form, survey or feedback message.

We also operate two CCTV cameras at our premises. Footage may include images of people entering or using the areas covered by the cameras. We use CCTV for the safety and security of people and property, relying on our legitimate interests. Access to footage is restricted and we may share relevant footage with the police, insurers or others where justified or required by law.

CCTVTo help protect people and property at our premises; legitimate interests.

We do not treat visiting the website or reading this notice as consent to marketing or optional tracking.

Who receives your information?

We share information only where needed to run Buick Mackane, including with our website and form provider (Wix), coworking and booking platform (Nexudus), payment processor (Stripe), email marketing provider (Mailchimp), telephone answering provider (Moneypenny), IT and professional advisers, and authorities where the law requires it. Other booking or event platforms may process information when you choose to use them. Each provider receives the information needed for its role.

International processing

Some of the providers that support our website, bookings, payments and communications may process or make personal information accessible outside the UK. Where a transfer is restricted under UK data protection law, we rely on an applicable adequacy arrangement or appropriate safeguards, such as approved contractual terms. Contact us for further information about a transfer relevant to your information.

How long do we keep it?

We keep personal information for as long as it is needed for the purpose for which we collected it. Booking and membership information is kept while you use our services and afterwards where needed for accounting, disputes or other legal obligations. We review old enquiries and remove them when they are no longer needed. We keep financial and tax records for the period required by law. Marketing contacts remain on our list until they unsubscribe or we remove inactive records; we may keep a minimal suppression record so we respect an opt-out.

Routine CCTV footage is overwritten automatically by the recording system. If an incident occurs, we may keep a relevant clip for longer while it is needed for an investigation, insurance claim or legal matter. You can ask us about the current routine overwrite period.

Cookies and similar technologies

Our website uses essential cookies to make it work and remember your cookie choice. With your permission, we may also use optional analytics cookies to understand how people use the site and improve it. The cookie banner lets you accept or reject optional cookies and manage your preferences. You can reopen the cookie settings to change your choice later. We do not currently use advertising pixels or cookies to personalise adverts. You can also change your browser settings, although blocking essential cookies may affect the site.

Your rights

You may have the right to access your personal information, correct it, ask us to erase or restrict it, object to certain uses, and receive portable copies in applicable circumstances. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful use. These rights are subject to legal limits, so we may sometimes need to keep information, for example for accounting records.
